TRAVEL POLICY To contain costs, our Consultants normally work by secure remote access from District Offices. And they do not drive corporate vehicles or carry corporate credit cards. So any Travel requested by the Client (to perform brief Onsite Services such as "meet & greet" or a system survey) must be prearranged and paid in full at Client expense at the time incurred. Client & Consultant will communicate directly to agree on the following Travel Arrangements: 1) round-trip flight reservations (business class with flight insurance), 2) mid-size rental car if needed (with insurance, mileage and fuel) or provision for mileage at the 2008 IRS standard of 50.5 cents per mile if Consultant is using a personal vehicle, 3) meals and lodging (with high-speed internet access, refrigerator & coffee maker in the room). MvCaTs bills at a 30% premium above our Remote rate for Onsite services and collects a 100% Retainer in exchange for a Consultant's willingness to leave the duties at the District Office as well as the comforts of home, family, friends, religious and community ties and responsibilities to endure the tedium and risks of travel, live out of a suitcase, eat restaurant food, and work odd hours in a strange environment. MvCaTs Consultants are “on the clock” from the time they leave their District Office until the time they return. While onsite, they are only “off the clock” while sleeping, enjoying personal time, or eating a meal. But they would be “on the clock” if the meal was a “working lunch”. (Client & Consultant must agree beforehand on what constitutes a “working lunch”.) Time Billing will include a Travel charge for Round-Trip Commuting as well as any Commuting while onsite. Since we cannot service Clients by remote access while traveling on your behalf, we bill commuting charges at our Remote Rate in order to be compensated for time reallocated to travel. This expense should be considered mitigated by the fact that most of the year, the Client saves a great deal of money by allowing us to service their software by secure remote access. Hint: booking a non-stop flight will save you money on commuting charges because late arrivals, layovers, tight security, and missed flights can wreak havoc on your budget. MvCaTs Consultants travel with a laptop computer. When feasible while commuting, they will be working on their presentation, "boning up" on topics scheduled for discussion, reviewing pertinent software, or preparing documentation. Just as an employee expects to be compensated for at least one-third of the work day, an MvCaTs Consultant who travels has a reasonable expectation of the same. Minimum compensation for Travel requested by the Client will be calculated as one-third of the total number of hours elapsed from the time our Consultant leaves their MvCaTs District Office until he or she returns and documents the day’s services in the final Timecard. If the actual hours traveled & worked fall short of this minimum, travel time will be subtracted from the minimum hours required to determine the number of hours to bill at our Onsite Rate. So be sure to give us enough work Onsite to make the trip worthwhile for us both. |
